THE OPPORTUNITY

We are seeking a proactive and detail-oriented Compliance and Product Data Coordinator (full-time) to service our client, a fast-growing beauty company based in the US.

The Compliance & Product Data Coordinator plays a crucial role in ensuring the company’s products comply with all applicable global regulations & retailer standards. This position supports the product lifecycle by managing product documentation, coordinating regulatory submissions, maintaining & distributing accurate product information. The ideal candidate is detail-oriented, organized, & possesses strong communication & analytical skills.

This is a contractual, full-time, freelance entry to mid-level position with an evaluation period of 3 months. It can be done completely from home with a fast Internet connection, your own computer, with the proper equipment and gear.

QUALIFICATIONS

  • Bachelor’s degree of any 4-year course.
  • At least 1 to 2 years of proven experience in the fields of Data Encoding, Data Analytics or similar field.
  • Must possess excellent English communication skills, both oral and written.
  • Advanced skills and proficiency in Data Management, Data Encoding, Excel, SQL and Spreadsheet formulas.
  • A strong foundation in statistical concepts is crucial for interpreting data and drawing meaningful conclusions.
  • Minimum typing speed of 50 WPM.
  • Ability to effectively work remotely in a home office environment
  • Strong organizational and prioritization skills; exceptional attention to detail
  • Has own laptop or desktop computer and has a stable, fast and reliable internet connection at home (at least 50-100mbps) capable of doing voice calls (with client and teams).
  • Experience working from home is a plus.
  • Willing to work graveyard shifts, US EST from 9am to 6pm.
  • Willing to take a pre-employment assessment test (see below).
  • Willing to be trained.

JOB DESCRIPTION (SCOPE OF WORK)

  • Regulatory Compliance: quarterly product launch updates needed. 
    • Monitor and interpret relevant regulatory changes, banned ingredients, and updates as it relates to current product assortments & innovation (FDA MoCRA, EU regulations, etc).
    • Ensure product compliance with all applicable local, state, federal, and international regulations (FDA MoCRA, EU regulations, etc).
    • Manage & submit new product regulatory filing & applications for global distribution (MSL RP, CPNP & SCPN, FDA MoCRA, etc).
    • Be the liaison between sales & innovation for regulatory compliance questions & submissions. 
    • Coordinate with external regulatory agencies and consultants as needed.
  • Product Lifecycle Support: monthly updates needed.
    • Assist in the development and implementation of product changes and updates.
    • Coordinate with cross-functional teams (contract manufacturers, innovation, sales) to ensure regulatory compliance throughout the product lifecycle.
  • Data Management and Reporting: bi-weekly updates needed.
    • Collect, analyze, and report on the status of product development and regulatory data to relevant teams.
    • Maintain accurate records of regulatory submissions and approvals.
  • Product Documentation: bi-weekly updates needed.
    • Coordinate the timely delivery of accurate and comprehensive product documentation with contract manufacturers, including technical specifications files, safety data sheets (SDS), labels, and packaging information (including dimensions, weight, etc on the Product Info Sheet).
    • Maintain consistent & up-to-date product & regulatory information databases across key internal team touchpoints (The Good Face Project, Product Information Sheet, Master INCI Tracker, EU Registration, & MoCRA Dropbox, etc).
    • Create easy to adopt processes for managing product specifications as it relates to global regulatory compliance, product labeling & packaging, & ‘free of’ claims (currently on Product Info Sheet under ‘Free Of Ingredients’ but needs to be built out more for full team autonomy).
  • Others:
    • Other miscellaneous ad hoc data and compliance tasks related to the above.

WORK HOURS

  • Work from home. full-time freelance, contractual position.
  • Guaranteed paid 8 hours shift per work day.
  • Schedule: from 9:00AM to 6:00PM EST US time, Mondays to Fridays.
  • US Holidays off and unpaid.
  • Any overtime needs to be pre-approved by the client.

COMPENSATION

  • USD $6.00 to $8.00 per hour based on experience.
  • Converted, the initial offer is Approximately from Php 53,000 to Php 70,000 monthly gross per month depending on experience.
  • Estimate gross pay is dependent on Forex rates.
  • The monthly “take home” pay in Pesos may vary accordingly due to Forex rates.
  • Note that we will only consider candidates who are amenable to the compensation budget above.
  • Monthly pay out. 
  • Compensation will be paid by the hour in USD.
  • Deposited to freelancer’s Payoneer account in USD.

ADDITIONAL NOTES

  • Although you will be reporting directly to the designated manager from our client, you will also be reporting to and will be supervised by Big Ideas Social Media Inc, who is the consultant and service provider (Agency) of the US business.
  • Big Ideas will be the one to provide your compensation and other HR and administrative needs locally.
  • You will be classified as “Self-Employed” when it concerns legality and taxation.
  • You will not be considered an employee of our Client or Big Ideas Philippines but instead, you will be a self-employed freelance professional.
  • Big Ideas (the agency) will deduct a 5% Expanded Withholding Tax as per PH and BIR laws. (10% if you do not have a COR, Certificate of Registration as Self-Employed from the BIR).
  • Contract is subject to an “evaluation period” and subject to contract renewal based on performance of the freelancer.
  • Renewal or raise in compensation is subject to client discretion (and your performance) and is not guaranteed.
