THE OPPORTUNITY
We are looking for an experienced, freelancer to be a full-time Virtual Assistant for our client based in the US. They need someone to provide administrative support to the executive while working remotely as well as assist in the day-to-day operations of the company.
The Virtual Assistant will handle day-to-day tasks which includes arranging schedules (appointments and meetings), managing emails, client coordination, coordinating with talents/vendors/suppliers, doing research, managing contracts, arranging travel (flights and accommodations), and other organizational, administrative and secretarial tasks.
This is a contractual, full-time freelance position initially with a trial period of 3 months and can be done completely from home with a laptop computer, proper gear, and fast internet connection.
JOB REQUIREMENTS AND QUALIFICATIONS
- College graduate of any diploma course.
- At least 2 years proven experience as a Virtual Assistant or Secretary, or similar administrative field.
- Excellent oral and written English skills.
- Excellent business communication skills, organization skills and knowledge of protocols.
- Can effectively communicate, coordinate and correspond with executives such as Directors and CEO or COO.
- Internet savvy and experienced with current technologies, like desktop sharing, MS Office, Google Suite, Social Media Platforms and other apps and tools to do the job.
- Knowledge of online calendars and scheduling (e.g. Google Calendar).
- Organizational, multitasking and time management skills.
- Proactive, self-motivated, willing to make decisions, and can work with minimal supervision.
- Has own laptop or desktop computer and has a stable, fast and reliable internet connection at home capable of doing voice and video calls.
- Willing to work graveyard shifts and flexible hours/schedule (US Eastern time) and willing to be on call or work overtime on weekends.
SCOPE OF WORK (JOB DESCRIPTION)
- Assist client with daily administrative tasks and schedules.
- Virtual Assistant duties:
- Travel Management – booking and arranging flights and accommodation.
- Email and file management – organizing and sorting files and inbox.
- Calendar management – arranging meetings and other schedules.
- Liaison, coordination and follow ups with talents, partners, suppliers and vendors.
- Doing research.
- Contract Management.
- Assist in client coordination.
- Prepare reports as needed.
- Keep track of travel and other expenses, reconciliation.
- Communicating with the client on multiple channels, such as email, and instant messaging.
- Help in managing and assessing business organization and secretarial tasks (Ensure confidentiality of sensitive information).
- Other clerical or secretarial tasks and assistance to executive as needed.
- Must be able to do daily graveyard shift PH time.
- Do miscellaneous errands or tasks related to the above.
WORK HOURS
- Work from home. Full-time freelancer, contractual position
- Availability from 7:00AM to 4:00PM (Pacific US Time) Mondays to Fridays
- 8 hours guaranteed shift per day
- 1 hour daily break
- US Holidays are off and unpaid
- Any overtime needs to be pre-approved by the client
COMPENSATION
- USD $4.00 per hour
- Monthly pay out
- Deposited to freelancer’s Payoneer account in USD.
ADDITIONAL NOTES
- Although you will be reporting directly to the designated manager from our client, you will also be reporting to and will be supervised by Big Ideas Social Media Inc, who is the consultant and service provider of the US business.
- Big Ideas will be the one to provide your compensation and other HR and administrative needs locally.
- You will be classified as “Self-Employed” when it concerns legality and taxation.
- You won’t be an employee of our Client or Big Ideas Philippines.
- Big Ideas (the agency) will deduct a 5% Expanded Withholding Tax as per PH and BIR laws. (10% if you do not have a COR as Self-Employed from the BIR).
- Contract is subject to an “evaluation period” and subject to contract renewal based on performance of the freelancer.
- Renewal or raise in compensation is subject to client discretion and is not guaranteed.
